Hi,June here

ClickUp is an online project management tool to plan your life and business. It’s an all-in-one organization app to manage people, projects, and everything in-between.

It’s helped me grow my own remote team without needing an office. I can delegate tasks from Mexico or South Africa, and using ClickUp ensures my entire team stays up-to-date with what needs to be done.

It’s literally perfect to manage your team remotely and scale your business. I love its features, including:

  • Team can track time
  • Chat and comment regarding task status
  • Set recurring tasks for personal and business (weekly content updates, biweekly reminders, etc)
  • Real-time team collaboration for active projects

You might be wondering what distinguishes ClickUp from its competitors in the project management industry.

Honestly – there are endless possibilities and integrations you can set up in ClickUp, including all of the features from competitors like Asana, Trello, Airtable, and Notion combined.

Why you should use ClickUp

    • Align company vision. 40% of companies say that different teams in their organization had different motivations and goals. ClickUp gives you a place to have your vision in one place, keep everyone on the same page, and create plans to execute that vision.
    • One app for everything. – from time tracking, project management, and task reporting
    • Reports. For example, through the Workload report, you can see if a team member is working on multiple projects and prevent overwhelm.
    • Add multiple assignees to one task. Some project management tools only allow you to assign one assignee per task! In ClickUp, you can assign two or more people to a task so that multiple people can stay up-to-date on bigger tasks that require their attention.
    • Flexible way to view project tasks, goals, and progression. From ClickUp’s everything view that provides a bird’s eye view of active projects across the organization, to its other 15+ views you can use to view work from different angles, there are endless ways to track projects.
    • List view, board view, box view, calendar view, embed view, mindmap view, timeline view, and more!
    • ClickUp is free for personal use. As you start growing your team, it’s such a great price compared to other project management tools on the market (like Asana, Trello). For small businesses, ClickUp is only $5/mo per team member.

You and your team can customize what’s seen in ClickUp in order to match your project or current needs. Maybe you need to see an overview in List view – but conceptualize the workflow in Board view. ClickUp is SO flexible based on what you and your team needs.

Start incorporating ClickUp into your business

Are you ready to incorporate ClickUp into your business? Here are a few things to keep in mind so you can optimize your team’s use of the software:

    • Create templates once you find a hierarchy that works for you. Think about everything you do in business. You can separate your business into different teams within your hierarchy and create spaces for each team.
    • Create statuses. Identify statuses that a task in a project will progress through. For example:
      • Started
      • In Progress
      • For Review
      • Make Revisions
      • Complete
    • Use ClickUp Integrations to automate parts of your workflow. For example, you can create an automation that sends reviews or testimonials to your Marketing Manager so they have the information they need to create testimonial content!
    • Goals. You can set up goals in ClickUp and track progress in real-time. Within each ClickUp goal, you can set smaller, measurable objectives known as Targets. These targets can be measured in units such as numbers, dollar amount, true/false, and even task lists.
    • Forms. You can create forms within ClickUp that are available to be completed publicly – like a job application. Then, you can access the form’s responses within ClickUp! This keeps everything organized within the platform.
    • Set up task dependencies. Keep your team on track by setting up task dependencies. That means, a task won’t be able to be started until the previous task has been completed. For example, you can’t promote a new blog post on Instagram until that blog post is live! Set up a dependency in combination with an Automation to assign a task to promote blog content on Instagram once a blog post is live!
    • Automate repetitive tasks. Identify things you do weekly, monthly, quarterly, or annually. Automate those repetitive tasks so that they only need to be set up once.
    • Embed views allow you to bring things like Google Docs or even analytics directly in ClickUp. This makes it easy for you and your team to work from within ClickUp instead of going from website to website.
    • Assigned comments. You can assign comments to others within a task. When you assign a comment, it lets people know you’d like to make any updates. The person assigned can resolve the comment, or respond to the comment directly.

All in all, there are endless ways you can use ClickUp

It’s all about creating custom workflows based on the most efficient ways to complete things, how to keep your team informed and involved, and preventing overwhelm.

The best way to start is by identifying every part of your organization, and every single task that needs to be completed for different projects. Then, you can create a workflow from there.

For example, let’s say you are a photographer who needs to stay organized when you collaborate with a brand.

  • What are the steps in that process?
  • What needs to be done?
  • Who needs to complete it, and by when?
  • Are there project goals you want to track?
  • What assets and information will everyone need that can be kept within the project in ClickUp?

By identifying the tasks that need to be done and creating templates for projects you complete over and over again, you save so much time. That time can be spent creating, ideating, and even scaling your business.

As you onboard team members, you can give them a bird’s eye view into your processes, projects, and systems.
